Planning an event as the seasons change can leave room for unpredictability—and when celebrations are in order, surprises aren’t always welcome. Vishal Joshi, co-founder and CEO of Joy, an app designed to make detailed event planning feel easy, shares his tips for anticipating the unexpected and keeping festivities running smoothly, from the Hamptons to Palm Beach.
THE HAMPTONS
Ask what “heated outdoor space” actually means.
Before booking an outdoor fall dinner, ask the venue to show you where heaters will sit relative to the tables, whether tent sides can block the wind, and whether heating is included in the price. Confirm that the indoor backup can accommodate your entire seated dinner, so moving inside doesn’t mean changing the format of the evening.
Plan the gathering around sunset.
An evening timeline that works in summer may leave your fall cocktail hour entirely in the dark. Check sunset for your event date and schedule outdoor drinks or photos accordingly. During your venue visit, also check lighting along the route from parking to the tables. Tell guests when you’ll move indoors so they know how to dress.
Give guests more guidance than a dress code.
If reaching the event involves a gravel driveway, lawn, or beach path, say so on the invitation or event website. A simple note such as “Cocktails will be on the lawn, so bring a layer and choose shoes suitable for grass” helps guests arrive comfortably. Confirm a step-free route for anyone who needs one.
PALM BEACH
Visit the outdoor space at the time you plan to use it.
A shaded terrace at a morning walkthrough may be in direct sun during afternoon cocktails. Visit at your proposed start time to check shade over seating, glare, and the route indoors if rain arrives. Use what you learn to adjust the seating layout or timing before you finalize the event.
Make the rain backup part of the booking.
Ask whether the indoor alternative can hold the same guest count, seated meal, and dance floor you’ve planned outdoors. Confirm any additional cost, how long the move takes, and when you need to make the decision. Make sure guests can reach the backup space without crossing an uncovered courtyard.
Plan transportation around where guests are staying.
If guests are staying in West Palm Beach while the celebration is on Palm Beach island, collect hotel and transportation details with RSVPs to help coordinate shared rides. Confirm that the valet will operate through the end of your event, and schedule the final shuttle after dessert so guests don’t have to leave early or arrange a ride at the last minute. withjoy.com
